This walkthrough covers timekeeping from the admin perspective. These settings control what jobs employees can see, how they enter time, and how hours are calculated.
Job Visibility and Timekeeping Access
In Global Settings, you can limit users to only seeing jobs they are assigned to. This also applies to timekeeping. Employees can only enter time on jobs they were scheduled on.
This includes past jobs if their name is still assigned on the schedule. Any job they were never scheduled on will not appear on their time card.
Enabling Timekeeping and Entry Methods
Under Settings > Timekeeping, you enable timekeeping and choose how employees enter time.
You can allow:
- Bulk time entry
- Clock in clock out
- Or both
Bulk time entry works like a paper time card where employees enter total hours for the day. Clock in clock out records start and end times. You can enable both so employees have flexibility.
Work Week Start Day
You can choose which day your work week starts. This is important for overtime calculations and payroll reporting.
Time Entry Reminders
You can turn on a daily time entry reminder. Set the reminder time and your time zone. Employees who have not entered time that day will receive a text reminder.
Staff members will also receive this reminder if they have a valid phone number on file.
Requiring Employees to Review Time
You can require employees to review time entered for them. For example, if a foreman enters time for a worker, that employee will see a prompt when they log in asking them to approve the time.
Overtime Settings
Overtime can be calculated weekly or daily.
You can:
- Enable overtime
- Choose weekly or daily
- Set the threshold
A common setup is weekly overtime after 40 hours, but daily rules can be used if needed.
Geotagging Time Entries
When geotagging is enabled, each time entry includes a GPS coordinate showing where the time was submitted. This information is visible on payroll reports.
Employees can disable GPS on their phone. If they do, the time entry will still go through but without a location tag.
Lunch Break Settings
You have two lunch break options.
Manual Lunch Break
With manual lunch enabled, employees check a box indicating they took a break. The system subtracts the set amount automatically.
For example, if the lunch is set to one hour and an employee enters eight hours, the system records seven paid hours.
Automatic Lunch Break
With auto lunch enabled, the system automatically deducts lunch once an employee exceeds a set number of hours.
For example, if auto lunch is set to one hour after eight hours worked and the employee enters ten hours, the system subtracts one hour automatically.
Choosing the Right Setup
Admins can mix and match settings based on company policy. You can allow both bulk time entry and clock in clock out, choose manual or automatic lunch, and control overtime rules.
These settings give you full control over how time is captured before payroll.
