Crews and equipment help you organize your schedule so you always know who and what is assigned to each job. This guide shows you how to use both in a simple and flexible way.
Adding equipment
Equipment is added from the Schedule page. This is the only place where equipment can be created.
When you add a piece of equipment, you can give it a name, add notes, photos, and attachments and save it to your system. New equipment is placed in the unassigned folder by default. From there, you can decide how you want to organize it.
Organizing equipment
There are two common ways to manage equipment. You can assign equipment directly to a crew when it typically stays with the same team, or you can organize machines in a separate crew folder such as Heavy Equipment. The best approach depends on how your company prefers to track and manage resources.
Scheduling crews and equipment together
When you schedule a job, you can assign both people and equipment.
Here’s how:
Add the job to the calendar
Assign the employees you need
Drag the equipment onto the same job
Now everyone can clearly see which crew members and which machines are working on that job.
Sending job details
Once the job is scheduled, you can add an event note and send it out by text. Employees receive the job location and instructions even if they do not use the app.
If a customer is attached to the job, you can also send them a message when needed.
Using duplication to save time
Duplicating jobs is a powerful way to schedule repeating work without starting from scratch.
If you duplicate a one day event, each duplicate will also be one day.
If you duplicate a multi day event, each duplicate will copy the full length of that event.
This is important to remember. The system always duplicates the entire event, not just the start date.
For example:
A one day job duplicated to Monday, Tuesday, and Wednesday creates three single day events.
A three day job duplicated to Monday, Tuesday, and Wednesday creates three multi day events that overlap.
When scheduling multiple days, make sure the original event matches the length you want to repeat.
Editing duplicated jobs
After duplicating, you can always:
Remove certain employees
Add different equipment
Change notes or times
This lets you reuse schedules while still keeping full control over each day.
Using crews and equipment together gives you a complete picture of your schedule. You can quickly see who is working, what equipment is being used and qhere everything is assigned. Once you understand how crews, equipment, and duplication work together, scheduling becomes faster, clearer, and much easier to manage.
