Foreman Tracking and Timekeeping

For: Scheduler, Foreman

Topics: Get Started, Time Keeping

This tutorial walks through how admins enable foreman tracking, how foremen enter and approve time, and how time moves from the field to final admin approval.

As an admin, go to Active Employees.
Select an employee and enable Tracking so they can enter quantities and mark tasks complete.
Enable Foreman access so they can view, confirm, and enter time for other employees.
Save the changes.

Once enabled, the foreman is marked with a gear icon across the system.

Go to the Schedule page and open a crew.
You will see the foreman listed with the gear icon next to their name.

Any foreman assigned to a crew automatically sees that crew’s time for the current week.

The foreman logs in and opens Timekeeping.

From here they can:

  1. Add their entire crew with one click
  2. Add individual workers, even if they were not scheduled
  3. Select the job and task
  4. Enter total hours or start and end times
  5. Enter quantities if enabled
  6. Indicate whether a lunch break was taken

Submitting time applies the hours to everyone selected.

Time entered by a foreman appears in teal.

If an employee enters their own time, it appears in yellow.
Yellow time means it needs review.

The foreman sees this time in their weekly view and can open it, edit it if needed, and confirm it. Once confirmed, it turns teal.

When a foreman enters or edits time for an employee, the employee sees a notification. They can view the time but cannot edit it.

Employees can still enter their own time separately if allowed.

Foremen can also use Clock In / Clock Out for the crew.

They can:

  1. Clock the whole crew in at once
  2. Select the job and task
  3. Switch tasks during the day
  4. Enter quantities
  5. Clock everyone out at the end of the day

Time can still be edited before admin approval.

Admins review time under Payroll and Reports.

Admins can:

  • Edit hours
  • View location data
  • See full change history
  • Approve time

Once approved by an admin, time turns blue and is locked.

Timekeeping in Crew Console follows a clear approval path.

Employees can enter their own time or have time entered for them by a foreman.
Foremen review crew time, make corrections, and confirm it.
Admins review the final hours, make any required adjustments, and approve the time for payroll.

Once admin approval is complete, the time is locked and ready for payroll processing.
