Advanced Scheduling

Topics: Scheduling

Once you begin sending schedule texts to your field team, Crew Console offers several tools that make managing people and communication even easier. This guide walks through a few advanced features and shows what the experience looks like for employees.

On the Schedule page, the Resources section helps you see who is available at a glance.

You can sort employees by crew color, use the search bar to find specific people, or expand all crews to view everyone at once. One especially helpful tool is the Not Scheduled Here option. This shows only the employees who are not assigned in the current view, making it easy to find available workers for a specific day.

When you assign someone to a job, they are automatically removed from the available list for that view, keeping everything up to date in real time.

Crew Console gives you several ways to communicate with your employees by text.

You can send a general message to everyone with a valid phone number, such as a quick note letting them know the schedule has been updated. You can also send a custom message to selected crews or individual employees, which is helpful for announcements, reminders, or sharing links like digital forms or surveys.

In day view, there is also a shortcut that lets you send event information to everyone scheduled that day at once. This saves time by eliminating the need to notify each job individually.

If your calendar becomes busy, you can switch to list view to see jobs in a clean, vertical layout. From here, you can open job details, update information, change colors, and add customers without leaving the schedule page.

This makes it easy to adjust jobs quickly when plans change.

When employees receive a schedule text and sign in, they see their schedule from their own point of view.

If timekeeping is turned on, they may land on the time entry screen first. If not, they go straight to the schedule. Depending on your settings, employees either see only the jobs they are assigned to or have the option to filter the schedule to show just their work.

When an employee opens a job, they can see where they are going and any notes you included. If you enabled the response feature, they can also confirm whether they will attend by selecting I will be there or I cannot make it.

Employees can tap Navigate to get directions to the job site directly from their phone.

When an employee confirms attendance, you see their response on the Schedule page. This gives you quick visibility into who is planning to show up, helping you avoid surprises before the day begins.

With these tools, scheduling becomes more than just placing jobs on a calendar. You can quickly find available workers, communicate clearly by text, and see how your schedule looks from the employee’s perspective.

As you continue using Crew Console, these features help create smoother coordination, better communication, and more reliable job coverage across your team.
