Adding Employees

For: Scheduler, Administration

Topics: Get Started

After you have adjusted all the settings of your Crew Console account, you can start adding your active employees. This step is essential for scheduling and assigning employees.

You can add employees in a few different places, including the homepage and the schedule page, but the easiest way is directly from the Employees page.

Open the Employees section and look for the plus button in the bottom right corner. Tap it to create a new employee profile.

When adding an employee, you will see several fields.

Employee ID is optional. If your company uses internal ID numbers, you can enter them here.

Every employee must have a PIN number, even if they do not use the app. Many companies send schedules by text only, so field employees may never log in, but the system still requires a PIN for setup.

A valid phone number is required if you want the employee to receive schedule texts.

As you move through the setup, you will also see options related to crews and tracking. These features connect to scheduling and timekeeping and will be covered in more detail later.

Each employee profile includes a notes section. This is a great place to record details like certifications, licenses, or special skills.

For example, you can add a note indicating that an employee has an OSHA certification. These notes are not just for reference. They are fully searchable, making it easy to find employees based on specific qualifications later.

When you save a new employee, Crew Console checks to make sure all required fields are complete. If you forget to enter a PIN, the system will prompt you to add one before the employee can be created.

Once saved, the employee is added to your active list.

From the Employees page, you can sort your list by name, search for specific people, and export your employee data as a CSV or PDF file for records or reporting.

The search feature goes beyond names. It also scans notes, so you can quickly locate employees with specific certifications or skills by typing keywords like OSHA.

With just a few steps, you can build a complete, organized employee list that supports scheduling, timekeeping, and communication across your team.
